Board Policy 4240
Previously recorded substandard academic performance may be disregarded if it is not reflective of a student’s demonstrated ability. The District Chancellor shall ensure that the Academic Senates of each college establish procedures that provide for academic renewal.
Administrative Procedure 4240
Students may petition to have their academic record reviewed for academic renewal of substandard academic performance under the following conditions:
- Students must have achieved a grade point average of at least 3.0 in 12 units of letter-graded coursework or 24 units of letter-graded coursework with a 2.0 or higher, and
- At least 2 years must have elapsed from the time the course work to be removed was completed.
Up to 24 semester units of course work may be eliminated from consideration in the cumulative grade point average. Courses previously used for awarding of a degree or certificate are not eligible for academic renewal. A course repeated for grade improvement is not eligible for academic renewal as the substandard grade has been disregarded and replaced in the computation of the grade point average. Students may only petition one time for academic renewal.
Specific courses and/or categories of courses that are exempt from academic renewal must be described. Academic renewal actions are irreversible. When academic renewal procedures permit previously recorded substandard coursework to be disregarded in the computation of a student’s grade point average, the student’s permanent academic record should contain an accurate record of all coursework to ensure a complete academic history.
Academic renewal procedures may not conflict with the District’s obligation to retain and destroy records or with the instructor’s ability to determine a student’s final grade.
Academic Renewal granted by the College does not guarantee that special programs or other institutions will honor such actions. The determination will be made by the respective transfer institutions and is the responsibility of the student to research.
Grade point average computation for graduation with honors or other awards uses all work, including course work approved for academic renewal.
While only coursework from San José-Evergreen Community College District may be alleviated from the record, the course work upon which the application for alleviation is based may be completed at any college or university accredited by the Western Association of Schools and Colleges or an equivalent accrediting agency.
Students will request an appointment with a counselor to complete the petition for Academic Renewal and must bring official transcripts to the appointment if using coursework from another college or university to establish eligibility for the renewal. The completed petition is submitted to Admissions and Records, by the counselor, and the petitioner must receive a response to the request for Academic Renewal within ten (10) business days
